Business Operations Coordinator (ACTIVELY HIRING - Applications due September 12th)
Seeking a detail-oriented Virtual Assistant to support both the Ashley Simmons personal brand and S3 business operations. This role requires strong project management skills, social media expertise, and the ability to manage multiple client relationships.
Primary Responsibilities
Ashley Simmons Brand Support -
Speaking Engagement Research: Identify and compile paid and unpaid speaking opportunities in and around the St. Louis region
Personal Calendar Management: Coordinate appointments and scheduling
Future Travel Planning: Organize business and speaking travel (future responsibility)
S3 Business Operations
Project Management & Client Operations
Monday.com Administration: Manage client projects and internal business operations within Monday.com platform
Contractor Oversight: Coordinate and manage contractor relationships and deliverables
Client Onboarding: Execute new client intake processes and setup
Client Communication: Handle client correspondence using S3 email systems (as directed)
Invoicing Support: Potentially manage client billing and invoicing processes
Social Media Management
For S3 Clients:
Content planning and project coordination
Ensure content aligns with client messaging and strategy
Verify all CTAs and links are properly directed
Content scheduling and posting (all content requires final approval before going live)
For S3 Brand:
Engage with target brands on Ashley's behalf (respond, like, comment)
Post content for S3 brand accounts
Build and maintain social media Standard Operating Procedures (SOPs)
Email Marketing & Communications
Email Campaign Management: Ensure weekly emails are sent for S3 and managed client accounts
Inbox Management: Monitor and manage Ashley's email account
Priority Message Flagging: Identify urgent communications and respond to basic requests
Client Email Management: Handle routine client communications as appropriate
Analytics & Reporting
Affiliate Metrics: Set up tracking systems for clients and organize monthly performance reports
Client Meeting Preparation: Compile key performance indicators including:
Email open rates
Social media engagement statistics
Other relevant KPIs for large client meetings
Technical Support
Website Management: Provide technical assistance in Squarespace and GoHighLevel platforms
Process Documentation: Create and maintain SOPs for various business processes
Required Skills & Experience
Experience with Monday.com project management platform
Social media management and content planning
Email marketing platforms and analytics
Squarespace and GoHighLevel familiarity (preferred)
Strong written communication skills
Detail-oriented with excellent organizational abilities
Experience managing multiple client projects
Ability to work independently and prioritize tasks
Research skills for identifying speaking opportunities
Work Environment
Remote position
Must be available during standard business hours for client communication
Occasional priority message handling outside business hours
Regular check-ins and project updates required
